Privacy notice

This website does three things that involve personal data: it takes an email address from people who want to be told when the full service opens; it runs an assistant you can ask questions; and it lets you sign in, upload builders’ quotes and get a free Quick Check of each one. This notice covers all three, in that order, and nothing else. Payment is not open yet; before you are ever asked to pay, this notice will be updated and you will be asked to read it again.

Who we are

Omnisum is operated by Build Place Ltd, registered in England and Wales, company number 15073761, 111-112 Pentax House, South Hill Avenue, South Harrow, Harrow, London HA2 0DU. We are the data controller for the information described here. Contact us at enquiry@buildplace.uk.

The waitlist

If you join the waitlist we hold your email address and which door you came through — whether you have quotes to check, do not have quotes yet, or are a builder — so that the first email you get is about the thing you actually asked about. We hold it on the basis of your consent, which you can withdraw at any time. We email you when things open and occasionally before that if there is something genuinely worth telling you, and we delete the list if the project does not launch.

The assistant

If you use the chat, what you type is sent to our AI provider so it can produce an answer, and it comes straight back to you. We do not store your conversation. Close the window and it is gone from our side — which also means we cannot recover it for you. The assistant answers general questions; it has no access to your account or your documents, and it is not the analysis. There is no need to type your address, your builder’s name or anything else personal into it, and we would rather you did not.

To stop the assistant being abused, we briefly hold a one-way scrambled form of the network address a request arrives from, in memory only, for about a minute. It is never written to disk, never linked to you, and cannot be turned back into an address.

Your account and your quotes

When you use the Quick Check, we hold:

• Your email address, which is your account. There is no password; we email you a code and a link each time you sign in.
• The documents you upload — the PDFs, Word and Excel files and photographs of quotes — and the results we produce from them: the structured reading of each document and the Quick Check itself.
• Photographs of the work, if you take them on the payment check or the handover check (added 17 September 2026): stored in your own private folder, read once against the list you photographed them for, shown back to you by a link that expires, and deleted with your account. A photograph of your home may show people or belongings; we ask the reading to describe the work, not the people.
• The figures you enter for the heating report (added 18 September 2026): the rooms and their areas, what the house is built of, the bathrooms, and the mains pressure and flow you or your plumber measured — stored on the project, sent to the AI provider under the same no-training terms as your documents, and deleted with your account.
• Your procurement list (added 19 September 2026): the items, quantities, prices, who buys what and the statuses you keep on it — stored on the project, sent to the AI provider under the same no-training terms when the notes are written, and deleted with your account.
• Your design check (added 20 September 2026): what the reading says each sheet shows against the checks that apply to your job, and the checks you mark as settled with your designer, with your notes — stored on the project; the drawings go to the AI provider under the same no-training terms as your documents when the check runs; deleted with your account.
• Which link brought you here (added 21 September 2026; changed 8 October 2026): if you arrived from a link with campaign tags on it (the utm_ parameters, or a short ref), the tags travel on in the page’s address and we record them with your account when it is made, and on your waitlist entry or your first project, so we know which campaign led to a sign-up. Nothing is stored on your device for this — no cookie. An advertising click id (Google’s or Meta’s) is read only for what it says, a paid click, and never kept. That is all — no IP address, no browsing history, no third-party tracking script or pixel — and it is deleted with your account.
• Housekeeping details: file names and sizes, when you uploaded, when the check finished, and whether you asked to reserve the Deep Analysis.
• What you told us about a report, if you did — the “was this useful?” answer and any words with it. It is read by a person, kept with your account and deleted with it.

A builder’s quote naturally contains details about the builder — a trading name, an address, sometimes a person’s name and email. We process those only to read the quote for you, and for no other purpose. We do not contact builders, build lists of them, or share anything about them with anyone.

We do not record your IP address or your behaviour on this site, and there are no advertising or tracking cookies. The only cookies are the ones that keep you signed in — ours, not a third party’s, and read by nobody else. We count arrivals from a tagged link (the tags, the page and the time, and nothing that identifies the visitor or tells one visit from another), so we know how many people a campaign brought; that count is not linked to you.

Where your documents go

Your files are stored in a private area in the United Kingdom (London) with Supabase, our database and storage provider, in a folder only your account can reach. To produce the Quick Check, each document is sent to our AI provider, Anthropic, which reads it and returns the structured result to us. That happens under commercial terms where customer content is not used to train AI models; the provider keeps what it was sent only for the short period its terms allow for safety monitoring, then deletes it. Our provider is in the United States, and the transfer is covered by the safeguards UK data protection law requires.

We never use your documents to train anything, and we never sell or share them. The people who work on Omnisum may look at a document to fix a problem you have reported or to check the analyser is reading quotes correctly, and for nothing else.

If you are a builder applying to the programme

The Transparent Builder programme asks for your company details and your recent quotes and variation orders. We hold them to run your review, under the programme terms. Your clients’ details are removed on intake: the moment a document has been read, the client’s names, property address, postcode and contact details are dropped from what we keep and scrubbed from every other line before any check is written; the file itself stays in your own private folder for the human review and is shown to nobody else. The reviewer’s notes are kept with the application and deleted with it. Your submissions are read by the same analyser under the same no-training terms as a customer’s quote, and may be used in anonymised, aggregated form; nothing published will identify you or your clients. Deleting your account removes the application and its files at once.

Why we are allowed to hold it

For your account and your documents: because you asked us for the Quick Check, and holding them is necessary to provide it — in law, the performance of a contract with you. For the waitlist: consent. For the limits that stop the free service being abused, and for reading a builder’s details that happen to appear in a quote: our legitimate interest in running an honest service for the people it is meant for, which we have weighed against the builder’s interests and kept to the minimum. For a builder’s application: the contract you enter by applying; for the clients named in the documents a builder submits: the same legitimate interest, met by removing them on intake.

Who else touches it

Vercel hosts the site. Supabase stores the database, your files and your sign-in. Anthropic reads the documents to produce the analysis. An email delivery service (Resend) sends the sign-in emails and the emails that tell you a result is ready — those carry the name of your project and a link, never the result itself. Public services are asked about the things in your quote, with nothing that identifies you: a company name at Companies House and on Google Maps, a postcode at the government’s planning data service. Each acts as our processor under contract, or as a public service under its own terms, and may only use the data to do that job. Where data is handled outside the UK, the transfer is covered by the safeguards UK data protection law requires.

How long we keep it

Your documents and results stay in your account so you can come back to them, and so the Deep Analysis can compare quotes for the same project. Delete your account from My dashboard and everything in it goes at once — the files, the quotes, the projects with their answers and reports, your sign-in — with backups following within 30 days; Stripe keeps the record of any payment, as the law requires. If you do nothing for twelve months we will email you before deleting it ourselves. Waitlist addresses are kept until Omnisum has launched and you have had the email, or until you ask us to remove yours.

Your rights

You can ask us for a copy of what we hold, to correct it, to delete it, or to stop using it, and you can withdraw consent at any time. Email enquiry@buildplace.uk from the address on your account and we will act on it — we are not going to make you chase us. Every marketing email we send will also have a one-click unsubscribe.

If you think we have got something wrong you can complain to the Information Commissioner’s Office at ico.org.uk. We would rather you told us first so we can fix it.

Age

Omnisum is for people aged 18 and over.
